UiPath brought together over 600 sales professionals from across the globe for their Annual Sales Kickoff at the Gaylord Opryland Convention Center in Nashville, one of the largest and most logistically complex event venues in the country.
The brief called for comprehensive event photography coverage across all three days: keynote stages, breakout sessions, networking moments, and the professional headshot studio running concurrently throughout the event. Final deliverables included 600+ event images and 350+ individual headshots, with daily delivery to keep the social and internal comms teams moving in real time.
Every image needed to capture the scale, energy, and professional character of the event: from sweeping wide shots of the main stage to intimate portraits that would serve each attendee's professional identity going forward.


The Gaylord Opryland Convention Center presents a unique production challenge: massive ballrooms and breakout spaces spread across a sprawling complex, each with its own lighting conditions and spatial character. Managing consistent image quality across dramatically different environments (from the high-contrast drama of the main stage to the neutral backdrop of the headshot studio) required precise technical preparation.
Running a professional headshot operation for 350+ executives and sales professionals concurrently with full event coverage meant coordinating multiple workflows simultaneously. Every attendee needed a polished, consistent portrait delivered within the 7-day window, requiring a systematic approach to the studio setup, posing direction, and post-production.
The daily delivery commitment added a further layer of complexity: images from each day's sessions needed to be culled, edited, and delivered overnight so the client's communications team could publish content while the event was still live.













Mapped the full three-day schedule against the venue layout to identify priority coverage moments: keynote sessions, executive presentations, breakout discussions, and networking receptions. Established the headshot studio setup with consistent backdrop, lighting, and posing parameters to ensure a uniform look across all 350+ portraits.
Ran parallel operations throughout each day: event coverage capturing the energy of the main stage and breakout sessions while the headshot studio processed a continuous flow of attendees. Technical consistency across both workflows ensured a cohesive visual library despite the very different shooting environments.
Each evening, same-day images were culled, color-graded, and delivered to the UiPath communications team for immediate use across social media and internal channels. The complete 600+ image library and all headshots were finalized and delivered within 7 days of the event's close.
